Adding links to other services

As well as adding documents and files to your track, you can also add links to the following services:

Sharing content from Google Drive

If your tenant’s administrator integrates your CafeX account with your organization’s Google Drive, you can add links to documents you host in Google Drive, such as: Google Docs, Google Sheets, or Google Slides.

Instead of adding a link, you can also add documents from Google Drive using the Add menu, See: Using application on the Add menu.

To share a file from Google Drive using a link, on your track:

  1. In Google Drive, Get shareable link for the document.
    See: Share files from Google Drive.
  2. Give CafeX access to the file, in one of the following ways:
    • Share the document with your CafeX account assistant
      • See: Finding our your CafeX account assistant
    • Allow anyone at your organization with a link to view the file.
  3. Add the URL to the CafeX track.
    See: Adding content to your track.

When a track member views a file from Google Drive, the member’s privileges are maintained. For example, a someone with edit-permission can edit a document from within the track:

Someone without permission to view a document in Google Drive can still see a PDF of its content. CafeX generates the PDF on their behalf:

If you add a document from Google drive and the title on the track is: Unauthorized Document. CafeX does not have permission to view the file. Track members with permission to view the document can do so, however, CafeX cannot provide a PDF of the document for members without permission.

Sharing content from Microsoft Office 365

If you integrate your account with Microsoft Office 365 you can share links to documents from your organization’s account.

When a track member views a file from Office 365 the member’s privileges are maintained. For example, a someone with edit-permission can edit a document from within the track.

Someone without permission to view a document in Office 365 can see a PDF of its content. CafeX generates the PDF on their behalf.

Sharing channels from Microsoft Teams

If you integrate your account with Microsoft, you can share links to the following Microsoft Teams resources.

To share links to channels or teams:

  1. In Microsoft Teams,
    • for channels: copy the link to channel
    • for teams: copy the link to team
  2. In CafeX, add the link to your track.
    See: Adding content to your track.
  3. When you view the link for the first time, if Microsoft Teams tells you to Click here to Authorize, follow the instructions to provide CafeX access to the Microsoft Team resource.
  4. If you share a channel, the content is available within CafeX:

  5. To load Microsoft Teams in a different browser tab, click Jump to Teams.

Sharing Smartsheets

If your tenant’s administrator enables the Smartsheets application, you can search and add smartsheets using application on the Add menu.

Alternatively, to share a link to a smartsheet:

  1. In Smartsheets, publish your sheet.

  2. Copy the URL for the sheet.
  3. In CafeX, add the link to your smartsheet.

Sharing links to YouTube videos

To watch a YouTube video from your track:

  1. In your CafeX track, add a link to the video’s URL.
